Welcome to Chartwells catering; our mission is to provide you with exceptional quality, exceptional service, and a creative cutting-edge culinary experience. Our professional staff is available to assist in planning your special event Monday-Friday 8:00am - 4:00pm. Please contact our catering coordinator at 409-880-8925 for customized service and menus or you can choose to place your order directly through our online menu program at www.lamaruniversity.catertrax.com
Events must be booked at least seven business days in advance. We understand events arise unexpectedly and we will do our best to accommodate late orders, but we cannot guarantee these requests. Specialty items requiring local pick-up are subject to a $25.00 service fee per item. Split orders may be subject to additional fees.
All orders need to placed within seven business days prior to the event, any orders placed after is considered short notice. In the event that a short notice order is placed, there will be a late fee of $50.00 added to the final bill.
A confirmed number of guests must be specified 3 business days prior to the event. This number is considered the guaranteed guest count.
Menu details along with final guarantees must be finalized three business days prior to the day of your event. Any food served above the original order will be served at the catering department’s discretion.
Events are billed in four hour increments. Events exceeding the four hour limit will be subject to additional service fees.
Cancellations must be made five business days prior to the contracted event date. Cancellations made less than five business days prior to the contracted date will be billed at 50% of the contracted total. Events cancelled less than two business days prior to the contracted date will be billed at 100% of the contracted total.
All disposable service ware will be furnished as accompaniment to all items purchased. Some exceptions apply to orders being picked up. We provide high quality disposable plastic ware. China and glassware are available for an additional charge of $5.00 per person for seated full service meals, plated or buffet style. A reduced fee may be available for reception style events. Please contact our catering office to confirm pricing based on your needs.
Tablecloths are supplied for all food and beverages tables. Tablecloths for non food tables are available for an additional; $10 per table.
Any unused food remains the property of Chartwells catering and cannot be removed from an event in accordance with state health regulations. All condiments and disposables also remain the property of Chartwells catering.
We request that tax-exempt forms be faxed to our office at 409-880-7772 three business days prior to the event date. We cannot remove tax after the fact.
Pitchers of water or large dispensers are available for conferences, lectures and meetings on campus. The charge is $2.99 per gallon,
A form of payment (purchase order or credit card) is required three business days prior to the event date. Contracts must be paid in full within one business day following the event. Clients will be charged for the final guarantee or the actual number of attendees, whichever number is greater.
Deliveries outside of our delivery area are subject to an additional delivery charge to be determined when you place your order. Catering orders will include necessary disposable utensils, dinnerware and condiments in quantities consistent with your order. To avoid a delivery fee, clients may pick up orders at the Brooks-Shivers dining hall. Pick-up orders are limited to disposable-ware only.
Special diets are accommodated upon request and will need to be submitted in writing five business days in advance.
Hot buffet service is limited to a minimum of twenty guests.
An additional set up fee may be applied to events taking place outdoors.
A 50% deposit is required at the time of booking. Full payment is due, with a final guarantee, five business days prior to the event date.
